How to calculate a seminar budget per person

Most budgeting mistakes come from a calculation done too quickly: a room price, a meal price, and everything else is forgotten. The most reliable method is to put each expense into one of two columns.

The budget per person is then calculated as follows: total fixed costs divided by the number of participants, plus the sum of the variable costs per head, plus management fees. This calculation immediately shows why a seminar for 25 people in a large room is expensive per head, and why a venue that includes the room in a meal package is often better value for small groups.

How much does a seminar room cost in Marseille?

This is the main fixed cost. A sea-view seminar room for around 80 people costs €800 to €1,700 per day to hire, depending on the format (half-day, full day or evening). A prestige venue, such as a museum or a large historic hall, can be booked exclusively from €1,600 for a small lounge to more than €13,000 for the large spaces. In between, business hotels in the Euroméditerranée district, restaurants with a private room on the Corniche or the Old Port, and bastides in the hinterland often offer “day delegate” packages that combine the room, breaks and lunch.

Check what the hire includes: projector, screen, microphones, flipcharts, internet connection, water. A cheaper room with no equipment can end up costing more than an equipped one.

What budget should you plan for meals and breaks?

This is the main variable cost. For a lunch or a cocktail reception in a private venue in Marseille, offers generally range from €35 to €60 per person. A standing lunch buffet saves time in the programme and encourages exchanges between teams. A seated lunch is better when the day is packed and participants need a proper break.

The team-bonding activity is often the most eagerly awaited part of a seminar. It can be a fixed cost (a host, a flat-rate game) or a variable one (a workshop charged per participant). A few benchmarks:

• Cocktail workshop: €70 per person, each participant makes three cocktails with a bartender.
• Music quiz hosted by the DJ: €150, ideal at the end of the day or before dinner.

What about the budget for a residential seminar?

As soon as there is an overnight stay, accommodation often becomes the largest variable cost, ahead of catering. • Choose a day delegate package: room, breaks and lunch combined, with a clear price per person.
• Avoid oversized rooms: a room for 80 people that is half full costs twice as much per head.
• Move the date: outside May, June and September, venues are more available and more open to negotiation.
• Group your suppliers: technical set-up, activities and photography from the same team means fewer fees and a bigger discount.

Which costs are most often forgotten?

In a first budget, some lines are almost always missing. Transport for participants between the station, the hotel and the venue; printed materials and signage; welcome gifts; set-up time for the technical equipment, which sometimes means hiring the room from the day before; and a contingency margin, which we recommend setting at around 10% of the total. Adding them from the start avoids having to cut back on the activities or the dinner three weeks before the event.
