Gala, student union party, graduation: what are the goals?

Schools and their student unions organise three main types of event. The graduation ceremony is an institutional occasion: families attend, the school’s image matters, every name must be pronounced correctly and every graduate photographed. The end-of-year gala is the big night of the year group, often in evening dress. Student union parties (freshers’, mid-year) build links between year groups and often fund the association’s projects through ticket sales.

How does a school gala run?

  1. 7pm, welcome: ticket check, cloakroom, photocall and photo booth at the entrance.
  2. 8pm, dinner or cocktail reception with food: background music, speeches by the principal and the student union president.
  3. 9.30pm, the highlight: a video of the year group, the year’s awards, an entrance under cold sparks.
  4. 10pm, dance party: DJ, dance floor lighting, possibly a theme for outfits.
  5. 2am, close: sound gradually lowered, lights back up, shuttles or taxis booked in advance.

For a graduation ceremony, the running order is shorter: families welcomed, a one to one-and-a-half-hour ceremony with microphones and a screen, a photo of each graduate on stage, then a cocktail reception.

What budget for a student union gala?

A gala budget is almost always worked out from the ticket price: the venue and caterer take up most of it, and the entertainment has to fit into what is left. Here are our net prices for sound, lighting and images:

Which venue for a school gala in Marseille?

How much does a DJ for a school gala cost?

At ADJM Événementiel, DJ Ambiance with a sound system for up to 150 people starts at €399 for 5 hours of mixing. For a gala of 300 people or more, the DJ Pro +++ package with a technician is priced on quotation. Prices are net.

Do you work with student unions?

Yes: we make the quote out in the association’s name, with a 30% deposit on signing. We also help the team build the running order and the budget from the ticket price.

Can you handle a graduation ceremony?

Yes: wireless microphones, a screen to project names, walk-on music for each graduate, and a photographer facing the stage so every family gets its photo.

How late does a gala go on?

Often until 2am, depending on the venue. Extra DJ hours are charged at €75 per hour until 2am, then €100 per hour, and are set out in the contract.
