What equipment should you hire for a corporate event?

The list depends on the venue more than on the event. A hotel seminar room often provides tables, chairs, a video projector and a microphone; what is usually missing is mood lighting and a sound system powerful enough to carry a party. A garden, a courtyard or a beach, on the other hand, need almost everything: shelter, power, furniture, sound and lighting. Before you book, ask the venue for its technical specifications and the list of what it provides.

How much does event equipment hire cost in Marseille?

A sound or lighting technician can set up and dismantle the equipment, or stay at the control desk: €35 per hour. To cover administrative costs linked to insurance and permits, a €50 booking fee applies once per event.

How many high tables and gazebos do you need?

For a standing cocktail reception, you generally allow one high table for every 8 to 10 guests, plus a few seats for those who need them. With fewer, guests end up holding their plate and glass and the reception becomes uncomfortable. A 3 × 3 m gazebo shelters a bar, a welcome desk or a stand; to protect guests from rain or the July sun, you need to put several together or plan a reception marquee, which we look at on quotation.

Hire only or with set-up: which should you choose?

• Hire only: for simple equipment (high tables, a gazebo, a speaker for background music) and a team used to handling it.
• With set-up: as soon as there are microphones, several speakers, dance floor lighting or effects. Getting the settings right makes all the difference.
• With a technician at the control desk: for important speeches, plenary sessions and dance parties of more than 100 people.
