Do you need a stage for a seminar or a party?

As soon as a room holds more than sixty or so people in theatre style, a speaker at the same level as the audience can no longer be seen beyond the fifth row. A riser a few dozen centimetres high is often enough for a speech; a proper stage becomes useful for a band, a fashion show, an awards ceremony with several winners or a performance. Our stages are modular: their size and height adapt to the room and the use.

On stage, plan a lectern for speakers who read from notes, a confidence monitor so they can see their slides without turning round, and easy access via steps or a ramp.

What screen size should you choose for a conference?

The rule audiovisual technicians follow: the height of the image should be about one sixth of the distance between the screen and the back row. For a back row 18 metres away, you therefore need an image about 3 metres high. Our 4 × 3 m screen covers most seminar rooms and medium-sized plenaries; beyond that, you need to add screens on either side of the stage.

A video projector needs a dark room: in a glass-walled room during the day or on a terrace at sunset, the image looks washed out. In those cases, the LED screen stays readable.

How do you avoid technical problems during a plenary?

• Collect all the presentations the day before, on a single control-desk computer, in the same screen format (usually 16:9).
• Test every video with sound in the room, not just on a laptop.
• Provide a presentation clicker and a confidence monitor for speakers.
• Keep a back-up copy of the files on a USB stick.
• Hold a technical rehearsal with the transitions: entrance, speeches, video, awards.

Should you film or stream the event?

For absent colleagues or the company’s other sites, our videographers film the plenary and deliver an edited version, or short clips for your internal channels. Filming works hand in hand with our sound and lighting control desk: the microphones are recorded directly, with no room noise.
