How to organise a residential seminar in Provence

Why choose a seminar with an overnight stay?

Staying the night changes the nature of the seminar. Participants do not head off at 6pm to their other commitments; the evening naturally extends the conversations, and by the next morning, ideas have had time to mature. It is the format to favour for a management seminar, a team that is being rebuilt, a start-of-year kick-off or the onboarding of new staff. On the other hand, it costs more and needs finer organisation: bedrooms, meals, transport, activities.

How do you choose the estate?

Provence offers a variety of settings less than an hour from Marseille: the wine estates and chateaux of the Aix area, the coast at Cassis and La Ciotat, the Alpilles or the hinterland. A few examples of event venues: Château Saint-Hilaire in Coudoux, at the heart of a 60-hectare vineyard, or Château de Valmousse in Lambesc, a chateau dating from 1704 on a 24-hectare estate. For a seminar with an overnight stay, the deciding factor remains accommodation: bedrooms on the estate or a hotel very close by, to be checked venue by venue.

What does a two-day programme look like?

Keep the demanding work for the mornings, when attention is at its peak. The afternoon of the first day is ideal for a team activity: it helps people unwind after the journey and the plenary, and it sets the mood for the evening. Departure on the second day should not be too late, especially on a Friday.

Which team-building activities work in Provence?

• Company olympics or a Survivor-style challenge (Koh-Lanta) in the grounds of the estate: team challenges that everyone can take part in.
• A cocktail workshop using Provençal produce, on the terrace before dinner.
• A mobile investigation or escape game, set up in one of the estate’s rooms.
• A quiz or music quiz after dinner, to get the evening going.
• A tasting in the wine cellar if the estate makes wine.

What budget should you plan for a residential seminar?

The budget is built per participant and per day. It adds up four items: accommodation, board (meals, breaks, drinks), room hire and the programme (activities, evening, technical equipment). On top of that come transport and, where relevant, support from an agency. Estates often offer a “day delegate” or “residential seminar” package that bundles the room, breaks and meals: ask exactly what it includes, especially drinks at dinner and technical equipment.

• Accommodation and board: the largest item, varying widely with the season and the standard.
• Rooms: sometimes included in the package, sometimes charged separately.
• Programme: team activity, music evening, photographer.
• Transport: coach, shuttles, luggage handling.

How do you handle transport and logistics?

A coach from Marseille or from Aix-en-Provence TGV station is often the simplest solution: everyone arrives on time, nobody drives after the evening, and the journey becomes a first shared moment. For participants arriving by train, arrange for their luggage to be taken from the station to the estate. Send out a practical information sheet a week before: timings, what to wear (comfortable shoes for the activity, a jacket for the evening), emergency number.

What if the mistral turns up?

The mistral can blow hard for several days in a row, even in spring and summer. It makes exposed terraces and light open-air activities unusable. For every moment planned outdoors, have a fallback: a room held as an option, an enclosed marquee, an indoor activity. • Room list (single, shared) approved with the participants.
• Dietary requirements sent to the estate.
• Coach times confirmed, outbound and return.
• Room’s technical equipment tested on arrival.
• Weather fallback planned for every outdoor activity.
• Time the music ends agreed with the estate.
