Photo booth and PicShot at corporate events: memories everyone can find
The photo booth has become a staple of corporate events, and for good reason: it makes people laugh, brings colleagues together in front of the lens and leaves a tangible keepsake. With a selfie-based gallery like PicShot, it also becomes a communication tool. Here is how to make the most of it.

Why have a photo booth at a corporate event?
A photo booth creates a natural meeting point: people go in pairs, call over a third colleague, dress up, laugh. It is entertainment that needs no host and runs all evening at its own pace. For the company, it also produces hundreds of spontaneous, smiling photos, often more telling than the official shots for showing team life on the intranet or on social media.
Photo booth, photographer or both?
| Option | What it produces | Strengths | Limits |
|---|---|---|---|
| Photo booth only | Posed photos, instant prints | Self-running, fun, a printed keepsake | Only covers the guests who use it |
| Photographer | Coverage: speeches, atmosphere, portraits | Covers every highlight | No instant keepsake for guests |
| Photo booth and PicShot | Booth photos found by selfie | Everyone gets their photos on their phone | Guests need to be informed |
| Complete Photo Experience | Booth, roaming photographer-host, live photo wall | Full coverage, photos displayed live | Higher budget |
For a party of more than 100 people, combining a photographer and a photo booth remains the most complete option: one tells the story of the event, the other gets guests involved.
How does PicShot work?
The classic problem with a photo booth is what happens afterwards: a gallery of 600 photos sent by email that nobody scrolls through to the end. PicShot, our in-house app, solves this problem. During the event, a QR code is displayed near the booth and on the tables. The guest scans it, takes a selfie, and PicShot shows them only the photos they appear in. They can download or share them straight away.
- The booth or the photographer takes the photos, which are sent live to the event gallery.
- The guest scans the QR code with their phone, without installing anything.
- They take a selfie that serves as the search key.
- They find their photos, download them and share them.
What about GDPR?
Selfie search relies on facial comparison: it is personal data processing, and guests must know what is happening. State it clearly in the invitation and on site (a sign near the booth is enough), say how long the gallery stays online, and let everyone choose not to use it. When sharing the photos on your communication channels, image rights apply as for any photo: let your staff know and remove any picture on simple request.
How do you get the set-up right?
- Location: somewhere people pass through, near the bar or between the cocktail area and the dance floor, sheltered from direct sun and from rain if you are outdoors.
- Space: 3 to 4 square metres for the booth and guests, plus a backdrop (photocall with your logo, green wall, curtain).
- Power: a socket nearby, with no extension cable running across a walkway.
- Lighting: avoid a spotlight aimed at the screen or backlighting from a large window.
- Props: a few are enough, linked to the theme of the evening. Too many props slow down the queue.
- Frame: your logo, the date and the name of the event on every print, so it stays pinned up at the office.
How can you use the photos after the event?
Photo booth pictures live on well beyond the evening. The very next day, a thank-you message with a few shots reminds everyone of the moment, including those who could not make it. On the intranet or in the internal newsletter, they show company life in a relaxed light. On social media, a selection of smiling photos feeds your employer brand and makes candidates want to join your teams.
For a trade fair or a stand, the photo booth even becomes a sales tool: the frame carries your brand, every visitor leaves with a keepsake bearing your name, and the online gallery keeps the contact going after the event. In every case, keep image rights in mind: only publish widely the photos that the people in them are aware of.
Photo booth or photo experience: which to choose for your event?
- Corporate party or end-of-year party: the photo booth with PicShot, which gets people involved and leaves everyone with a keepsake.
- Seminar or convention: a photographer for the official moments, complemented by PicShot so that participants can find their photos.
- Trade fair or product launch: the Complete Photo Experience with a live photo wall, which draws the eye to the stand.
- Works council Christmas party (for employees’ children): the photo booth with props, which children love, and instant prints for families.

Questions we are often asked
How do guests get their photos with PicShot?
Each guest scans a QR code displayed on site, takes a selfie, and PicShot shows them every photo from the event they appear in, whether taken by the photo booth or by the photographer. There is no app to install, and nobody has to dig through a gallery of several hundred pictures.
Corporate photo booth: where should you set it up?
Place the booth somewhere people pass by but out of the main flow: near the bar or between the cocktail area and the dance floor, never in the entrance. You need a power socket nearby, around 3 to 4 square metres under cover, a neutral backdrop or a photocall, and lighting that does not reflect in the screen.
