How much does a photographer for a corporate event cost?
Event photos are used long after the party: annual report, recruitment, social media, website. Yet the photographer is often booked last, with no brief. Here is what photo coverage costs and what it should include.

How much does a photographer for a corporate event cost?
In the agency proposals received by a Marseille company for its back-to-work party, the photographer was priced at €950 to €1,200, sometimes combined with a videographer. That rate covers the photographer’s time, the selection, the editing and the margin of the agency that booked them.
Booked direct, the price is based on the time on site and the post-production work. Here are our packages, which also serve as a benchmark for reading any quote:
| Service | Duration and deliverables | Price |
|---|---|---|
| Photographer via an agency (market benchmark) | Corporate party, agency margin included | €950 to €1,200 |
| Half-day photo coverage | 4 hours on site, selection delivered within 48 hours | €490 |
| Full-day photo coverage | 8 hours on site, all photos selected and colour-matched | €890 |
| Corporate portraits | Up to 8 people, then €30 per person | €290 |
| PicShot only | Selfie-based gallery linked to the photographer’s photos | €190 |
| Videographer, drone | Edited film, aerial footage | on quotation |
Half day or full day: how long should you book?
Choose the duration according to the moments you want covered, not the total length of the event. Four hours is enough for an evening: the welcome, the speeches, the cocktails, the first dances. After midnight, the photos all look alike and are rarely used for communication.
For a seminar, a full day makes sense when there are several highlights: a plenary in the morning, workshops, lunch, team building in the afternoon, then dinner. Otherwise, a half day well placed around the key moments gives better value for money.
- Corporate party: 4 hours, from the guests’ arrival to the opening of the dance floor.
- One-day seminar: 8 hours, or 4 hours focused on the plenary and the team building.
- Opening or product launch: 4 hours, with atmosphere shots of the venue before the public arrives.
- Two-day convention: two full days, or a photographer and a videographer who share the highlights.
What should a photographer’s price include?
Two quotes at the same price can deliver very different things. Check these points before you sign:
| Point to check | The right question | Why it matters |
|---|---|---|
| Number of photos | How many selected photos are delivered? | A thousand raw photos are no use |
| Editing | Colour matching or portrait retouching? | It changes the working time and the result |
| Turnaround | How quickly? | To post on LinkedIn the next day |
| Usage rights | Internal use, web, press, advertising? | Advertising use is negotiated separately |
| Delivery format | Online gallery, download link? | To share with the guests |
| Credit | Does the photographer need to be credited? | Plan for it in your posts |
How to prepare the photographer’s brief?
A good event photographer knows how to be invisible, but cannot guess your priorities. Send them a list of must-have shots a few days before:
- The timed running order: guests’ arrival, speech at 8.15pm, awards ceremony, cake.
- The key people: executives, guests of honour, award winners, with a photo so they can be recognised.
- Brand elements: logo, roll-up banner, the product being launched, decoration created for the occasion.
- Group photos: by department or team, scheduled early in the evening while everyone still looks their best.
- Planned uses: social media (portrait format), annual report (high resolution), intranet.
What about guests’ image rights?
Photographing employees and guests means informing them. The simplest approach: a note in the invitation, a sign at the entrance and the option to opt out of appearing in publications. For advertising use of a portrait in which someone can be identified, written consent is still preferable. Your legal department or data protection officer can tell you what your company’s policy says.
How to get the most out of the photographer’s time?
A tip we often recommend: use a seminar or a convention to shoot the team’s corporate portraits. A studio corner with a neutral backdrop, set up during the breaks, lets you photograph around twenty colleagues without holding up the programme. The photographer is already there, so you only pay for travel once.
Another option: link the event photos to PicShot. Each guest scans a QR code, takes a selfie and finds every photo they appear in, with no app. The photos spread across the guests’ personal social media, with your event in the background.
Should you add a videographer to the photographer?
Video meets a different need. A photo illustrates an article or a post; a two-minute film tells the story of the event, lets people hear the CEO’s speech and makes them want to come back next year. For a convention, a product launch or a company anniversary, a photographer and videographer pairing is often the right choice. For a back-to-work party, photos are enough in most cases.
The price of a video depends mainly on the editing: a long film, interviews, a short vertical version for social media, aerial drone footage where the venue and regulations allow it. That is why we price it on quotation, once we understand how it will be used. Say from the outset whether you want the film the next day or whether two weeks is fine: it changes how the editor organises their work.
